Description

Provides clerical and administrative support services to the VP of Emergency Services, Director of Emergency Services Operations, and providers and locums under the Emergency Services in all regions.  This support includes preparing correspondence in final form, scheduling meetings, appointments, and special projects as time allows.  The position works with all Emergency Services Providers (appox. 70) and regional staff to ensure appropriate provider staffing in all our Emergency Room departments.  This position maintains between six to fourteen sites that need providers scheduled for all shifts.  Escalates concerns or issues in filling a shift/facility to ED leadership team.  Maintains schedules for all ED Physicians which includes work schedule based on FTE status, PTO, sick time, conferences or events physicians will be participating in. This position will maintain the schedule of all regular providers as well as any locums working within the ED.  Assists ED Medical Director with forecasting future scheduling needs, anticipating coverage issues due to PTO, FMLA’s and Leave of Absences.      

Qualifications

REQUIRED QUALIFICATIONS:

 

High School Diploma or GED

 

2 years of physician office or secretarial experience to develop mastery of office skills, interpersonal skills, and to communicate with mission partners effectively at all levels within the organization.

 

Proficiency with MS Office, including Word, Excel, PPT, and Outlook and working knowledge of electronic medical records with the ability to type approx. 60 wpm.

 

Analytical skills necessary in order to handle non-routine, moderately complex administrative details.

 

Gather and summarize data for reports, find solutions to various administrative problems and support and/or participate in project work, and effectively prioritize work.

 

Excellent communication and customer service skills.

 

Excellent problem-solving and decision-making skills.

 

Strong communication, interpersonal, and organizational skills.

 

Ability to work collaboratively with a wide variety of people, responding to stressful situations in a calm and rational manner.

 

Flexibility and an eagerness to support changes to assist in improving processes and accomplishing goals.

 

 

PREFERRED QUALIFICATIONS:

 

Associate’s Degree in a healthcare or secretarial field
